School ERP pricing in India looks simple until you compare two quotes. One vendor quotes per student, another a flat yearly fee, a third adds charges for SMS and setup. This guide explains the common pricing models and shows how to work out what a school will really pay.

The three common pricing models

ModelHow it worksGood for
Per student, per yearYou pay for each enrolled student, often with a yearly minimum. Most schools: cost grows with strength.
Flat yearly licenceOne fixed fee regardless of student count.Large schools with stable strength.

BitBuilder School ERP price list

BitBuilder uses per-student pricing, billed annually, with a clear yearly minimum so small schools are not overcharged and large schools know their maximum.

PackagePer student / monthPer student / yearYearly minimumOne-time setup
School Basic₹5₹60₹12,000₹3,000
School Essential₹10₹120₹24,000₹5,000
School Plus₹15₹180₹36,000₹10,000

Applicable taxes are extra. Full details and an estimator are on the pricing page.

Worked examples

  • 150 students on Basic: 150 × ₹60 = ₹9,000, below the ₹12,000 minimum, so the school pays ₹12,000 a year plus ₹3,000 setup in year one.
  • 600 students on Essential: 600 × ₹120 = ₹72,000 a year plus ₹5,000 setup in year one.
  • 1,200 students on Plus: 1,200 × ₹180 = ₹2,16,000 a year plus ₹10,000 setup in year one.

Extras that change the final bill

These are the line items that most often surprise schools. Ask about each one before signing:

  • SMS and WhatsApp messages: usually billed by usage, because message volumes vary hugely between schools.
  • Data migration: moving old student and fee records from Excel or another system.
  • Onsite training: online walkthroughs are common; staff training at the school is often extra.
  • Integrations: payment gateways, biometric attendance or GPS devices.
  • Custom reports and certificates beyond the standard set.

Which package should a school choose?

  • Basic if the priority is student records, attendance and fee collection.
  • Essential if you also want exams and report cards, timetable, homework and parent/teacher portals.
  • Plus if you run transport, a library, a hostel or want payroll in the same system.
