GPS School Bus Tracking: How It Works in a School ERP
How GPS school bus tracking works inside a school ERP: live fleet maps, routes, driver phones or GPS devices, alerts and what parents and transport staff see.

Transport is one of the most common sources of parent calls in any school: ‘Has the bus left?’ ‘Why is it late?’ A GPS school bus tracking system answers those questions on a map, and when it is part of the school ERP, the routes, students and drivers are already in the same database.
How live bus tracking works
- Each route is set up in the transport module with its vehicle, driver and stops.
- A location source reports the bus position: either the driver’s phone or a GPS tracker device fitted to the bus.
- The device sends a location ping to the school ERP at a regular interval (for example every 15 seconds).
- The Live Fleet Tracking screen plots every active bus on a map, with route status, speed and last update time.
- Transport staff can send route alerts (delay, breakdown, route change) to the parents of students on that route.
Phone app or hardware GPS device?
| Driver’s phone | GPS tracker device | |
|---|---|---|
| Upfront cost | None beyond the phone | Device + installation |
| Reliability | Depends on the driver keeping the phone on | Always on with vehicle power |
| Best for | Getting started quickly | Larger fleets |
Why it belongs inside the school ERP
- Students are already mapped to routes and stops, so alerts reach the right parents only.
- Transport fees are linked to the fee module, so route changes update the fee ledger.
- Drivers and attendants sit in staff records and payroll.
- Principals see transport status on the same dashboard as attendance and collections.
Questions to ask before rolling it out
- Who will own the phones or devices, and who checks they are working each morning?
- How often should positions update? More frequent pings use more mobile data.
- Which alerts should go to parents automatically, and which should staff send manually?
- Is GPS tracking included in the package or charged separately? (On BitBuilder it sits in School Plus; devices and messaging are extra.)
